Terms and Conditions

Information about us

We operate the website www.esvps.org. We are European School of Veterinary Postgraduate Studies (“ISVPS”), a company registered in England and Wales under company number 04675737, and with our registered office and main trading address at Alexandra House, Whittingham Drive, Wroughton, Swindon, Wiltshire SN4 0QJ.

Contract Terms

We agree to provide services to you on the following terms and conditions and Policies mentioned. These constitute a contract between us and you and must be read together with any other documents explicitly agreed to be part of this contract. Any other terms and conditions contained in any other document are excluded unless their inclusion is expressly agreed in writing by us.

In these terms and conditions ‘we’ and ‘us’ means ISVPS and the ‘service’ means the exam or other service you have ordered from us as set out in the service description or other agreed document.

ISVPS will:
  • Provide a written Final Examination. This will be held on a single day, at a single venue. Details of the date and venue will be available to candidates 3 months before the date of the Examination. ISVPS reserve the right to change these details under exceptional circumstances, but if this is necessary will provide maximum possible notice to delegates
  • Scrutinise completed written assessment in accordance with the timings and procedures laid out in the 'Enrolment Booklet'.
  • Notify candidates in writing of their result in the Examination (and other submissions if applicable) within 6 weeks of the final examination. These results will be released via the ISVPS 'Candidate Area'.
To be eligible to sit the Examination candidates must:
  • Attend a minimum required number of taught modules and sign the Attendance Register on those days. Candidates who miss more than the permitted number of modules may attend those modules in the following year, and then sit the Examination, provided that appropriate Enrolment Form and fees have been received by ISVPS.
  • Enrol and pay in full for the Examination by the date given by ISVPS.
  • Submit their written assessment and other submissions to ISVPS in accordance with the timings and procedures laid out in those documents.
  • Attend the appropriate venue for the Final Examination on the stated date.
  • Enclose the appropriate fee with this registration form. This fee is non-refundable, but candidates may defer their entry into the examination, providing they provide written notice to ISVPS at least 30 days before the date of the first submission.
  • Notify ISVPS in writing of any change in their address for correspondence.
Privacy Policy

ISVPS is committed to protecting your privacy having implemented a Privacy Policy that works in conjunction with the present Terms and Conditions. We may require, in order to provide the service you are registering for, the following information:
  • Name and job title
  • Contact information including email address, address, telephone number
  • Demographic information such as postcode, preferences and interests
  • Other information relevant to surveys and candidate support
  • Professional license number/college registration number
  • Business contact information, such as job title, department and name of the company or organisation
  • Payment details, including tax number and bank account number
  • Opt-in/opt-out for marketing materials
  • Opt-in/opt-out for other mailings
  • Content you provide (such as photos, articles, assessments, information, personal details)
  • Qualifications, CV, references, education
  • Photographs and CCTV footage
  • Time of registration, attendance and absence information
What we do with the information we gather:
  • Customer or supplier administration
  • Supply and delivery of the services or products ordered by you
  • Administrating payment of invoices and collection of debts
  • Compliance with Data Protection legislation and/or any applicable laws and regulations
  • Protect against and prevent fraud and unauthorised transactions
  • Delivery of assessment and learning materials, notes and product support
  • Anonymising personal information
  • Register and follow-up any opt-in or opt-out that you have indicated to us, in order to ensure that Mailings are customized and to ensure that you no longer receive Mailings you have opted-out of
  • Comply with regulation
  • Use personal data in an anonymous and aggregate way for survey analysis research purposes
  • Any other purposes of processing of your personal data agreed upon with you
In order for us to best provide our services to you, it is essential that we are able to collect and use the information as described in this Privacy Policy. This means that data collection is largely necessary for fulfilling the relationship we have with you, and where that is not the case, we have a legitimate interest in collection your personal information or we need this information to comply with legal and regulatory obligations. In case we don’t have a legitimate interest or we don’t need your information to fulfil the relationship we have with you, we will ask your explicit consent.

Disclosures of your information:
  • In the context of the purposes as listed above, we may share your personal data with third parties, such as banks and IT service providers or transfer the data in an anonymous way to third parties for statistic or research purposes. Your personal data can also be disclosed to all companies within the Benchmark Group.
  • By registering and subscribing on ISVPS services provided in conjunction with or on behalf of a third party we will process and share your information with the other party involved in order to provide the services you are contracting. Any third party involved shall be mentioned on the service presented. They may contact you directly and process your information in line with their own terms and conditions, privacy policy and other policies.
  • If you subscribe services that are validated by Harper Adams University (HAU) we will share your information as necessary in order to process your accreditation and certification. They may also contact you directly and process your information in line with their own terms and conditions, privacy policy and other policies.
  • We will ensure that, where relevant, contractual safeguards are implemented to ensure the protection of your personal data when disclosing your personal data to a third party. We will never pass your personal information to anyone else, except where we are required or permitted to do so by law.
How long do we keep your Personal Data:
  • We will normally keep your personal data for the duration of the business relation we have with you and for a period of 7 years after the end of the contract or services delivered to you unless the data relates to professional certifications or qualifications supplied by us to you which you may require evidence of throughout your career, which could be kept for a period of 50 years, as it is for your best interests. Only where we are legally obliged to, or where this is necessary for defending our interests in the context of judicial proceedings, we will store the personal data for longer periods.
  • We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we hold.
Other Notes:
  • Force majeure
    • We are not liable for any breach of contract between ourselves and candidates caused by matters beyond our reasonable control, including, but not limited to industrial or transport related disputes, weather of exceptional or unusual severity, acts of local or central government or other authorities, war, flood, fire or interruption of electricity supply.
  • The candidate understand and agrees that the certification may be revoked at any time and the candidate banned from any future ISVPS certifications should ISVPS determine, in its absolute discretion, that:
    • Any of the information in the application or exam registration is false or contains material misrepresentations or omissions;
    • Any assessment presented has breached the present Terms and Conditions or any other assessment guidelines; or
    • Is determined the existence of any misconduct, irregularity or fraud in any of the certification assessments before, during or after the assessment takes place and results are issued.
    • The candidate shall not be entitled, in such cases, for any reimbursement or credit of fees, expenses or any other sort of compensation by ISVPS.
  • Personal possessions and valuables are the responsibility of the delegates at all times and at all venues. ISVPS will not accept any liability for the loss of or damage to personal possessions and valuables.
  • Vehicles are parked at the owner’s risk at all venues. ISVPS will not accept any liability for loss or damage to vehicles.
  • Candidates who sit the Final Examination but are unsuccessful may re-sit the Examination in the following year. A fee will be payable, and details of re-registration procedures will be available to unsuccessful candidates upon request. Candidates are limited to three attempts.
  • By enrolling for the Examination, candidates agree to accept the decision of the examiners. Unsuccessful candidates may appeal against the conduct of the examination, but not against the decision of the examiners.
  • Any appeal must be made in writing to ISVPS within 30 days of the Examination results being issued. ISVPS will provide a written response to any such appeal within 30 days of receipt.
  • The Examination and all allied activities are the responsibility of ISVPS, rather than Improve International Ltd, and any correspondence or appeals related to the Examination must therefore be directed to ISVPS as described above.
  • Under no circumstances may candidates remove any examination question papers or notes from the examination room.
  • Successful candidates will have their name placed in the ISVPS register, which is available publicly. If you do not wish for your name to appear in the ISVPS register please inform ISVPS in writing.
  • This contract excludes and/or supersedes any previous statements or agreements between us whether written or oral relating to the provision of the service.
  • If any provision of this contract is held by any competent authority to be invalid or unenforceable in whole or in part the validity of the other provisions of this contract and the remainder of the provision in question shall be unaffected.
  • Any notice required or permitted to be given by either party to the other under this contract shall be in writing addressed to the other party at its registered office or principal place of business or such other address as may at the relevant time have been notified under this provision to the party giving the notice.
  • This contract shall be governed by the laws of England and we both agree to submit to the non-exclusive jurisdiction of the English Courts.
  • These Terms and Conditions together with the “registration and payment form” constitute the entire agreement between the parties, supersede any previous agreement or understanding and may not be varied except in writing between the parties.  All other terms, express or implied by statute or otherwise, are excluded to the fullest extent permitted by law.
